How to create items on your Monday work admin board via email

Try this nifty email trick if you want to submit an item to your Monday work management board.

However, sometimes you or a team member has an idea that jumps to the forefront of the brain queue, and you may need to get it on the board quickly before that idea disappears into the ether.

Instead of having to open a web browser, log into your Monday work management space, and add a task for the idea, you can simply email the idea to the board and it will automatically create an entry for you. After all, isn’t project management about working smarter, not harder? If that sounds like something you want to add to your workflow, read on.

What you need to submit a work management item by email by Monday

The only things you need to make this work are a valid Monday Work Manager account, a board to work with, and an email account. That is it.

How to find the necessary email address

The first thing to do is find out the necessary email address for the board in question. Log in to your Monday work management Workspace and then navigate to the board.

Once there, click the three-dot menu button in the top-right corner of the window. From the resulting pop-up menu (Image A), click Board Settings | Create items via email.

In the resulting popup (Figure B), you will see the email address of the board. Copy that address and create an email contact for it or paste it into a file that you can easily access.

If you want, you can also customize the email address for that board. To do this, click the drop-down arrow in the pop-up window and edit the email address in the resulting field (Figure C).

The custom email address can only be used by board members with a Monday Work admin account. For all other people, you must use the secure address.

How to compose your Monday work management email

The email to be sent to your Monday work management board should be in the following form:

  • On the Recipient line, use the board’s email address.
  • The subject line becomes the title of the item on the board.
  • The body will be an update for the new item and may contain files.

After composing your email, send it. The email will appear on the relevant board as a new item.

Keep it simple

Creating items this way will make interacting with work management easier on Monday, making your work life easier. Start sending items to your boards via email and see if your workflow doesn’t become significantly more efficient. Don’t forget to save those email addresses as contacts so you don’t have to type them out every time.
